About the role
We have an exciting opportunity to come and join our join our dynamic Health Information Services team in a prepping/scanning based role, located on site at Box Hill Hospital. We are looking for positive, motivated individuals, with high attention to detail to join our great team, in a behind the scenes role, working on preparing medical records for scanning.
This is a full-time, temporary position with a 2-year fixed-term contract, working 80 hours per fortnight (including an ADO). The role is located in the Health Information
Services department at Box Hill Hospital.
This role operates on a rotating roster based on the operational needs of the department. Shifts may be scheduled at varying times throughout the week, with a total of 40 hours rostered per week.
Regular shift times are as follows:
- Day shift: Between 7:00am and 6:00pm (Monday to Sunday)
- Afternoon shift: 3:00pm to 11:00pm (Monday to Sunday)
- Shifts are assigned in advance, and additional shifts may be offered based on departmental requirements. Candidates must be available to work across all shift times and days as part of the rotating roster.
As part of this role, you will be responsible for ensuring patient medical records (in paper forms) are prepared for scanning involving quality checking the documents and ensuring they are ready to be scanned. You will be responsible for scanning the prepared documents in a timely manner, to ensure they are available for electronic viewing by clinical staff for ongoing clinical care and decision making. In addition to those duties, you will be required to maintaining the quality of the scanned, as well as both our electronic medical record (EMR) and paper medical records, and you may be required to do other clerical and administrative duties as requested.
You may at times be required to also assist with other tasks in our Release of Information/Information Release service, which is also based within our Health Information Services at Box Hill Hospital – Health Information Service.
Please note, this role requires you to be onsite at all times, there is no ability to work from home.

Healthcare workers are strongly recommended to follow COVID vaccination recommendations provided in the Australian Immunisation handbook (based on ATAGI advice). Seasonal vaccination against influenza is a mandatory requirement of this role and an offer is conditional on this being up to date prior to employment.
